EndNote FAQ

Answers

  • How do I get EndNote?
The Library does not distribute or sell EndNote. UCSF affiliates can purchase a copy from the UCSF Technology Store, located at Millberry Union Plaza East inside the UCSF University Store. You can also purchase a copy directly from the EndNote website. The UCSF Technology Store is a UCSF department, so in addition to accepting ATM and credit cards it also offers payment options through interdepartmental recharge.

  • What hands-on training is available?
Library staff teach a hands-on Getting Started with Endnote class that covers basic skills required to get started using EndNote X2. You will learn how to create your own personal reference database and how to generate a formatted bibliography in MS Word. An Advanced EndNote class covers features such as how to modify a journal output style and how to use EndNote to manage image files.

  • Is EndNote available on library computers?

  • What is the latest version of EndNote? Should I upgrade to a more recent version?
The most recent versions of EndNote have several new features that make the application more powerful and easier to use. In general, if you have an older version of EndNote, say version 7.0, you can carry out core functions such as importing from PubMed and creating a bibliography. However, you should take a look at newer versions to see which additional functions have been added. For example, with version X2 the program automatically locates and downloads PDF files.
    • EndNote X3 for windows was released in June 2009. Read an overview of X3.
    • EndNote X2 for Windows was released in June 2008 and the Mac version in September 2008. Read an overview of X2.
    • EndNote updates X2.0.1 for Mac OS X and X2.0.2 for Windows can be downloaded from this site. These updates include new EndNote "library modes" that allow you to choose the way you like to work when downloading citations.
    • If you have EndNote version 9.0.0 running under Windows you should consider upgrading to 9.0.1., which contains many enhancements. You can download the free patch from the EndNote Website.
    • If you have EndNote 7.0 you may need to consider if it is worth upgrading, as version 7 is adequate for most users' needs.
    • EndNote 8 introduced some useful enhancements such as unlimited file size, support for Unicode characters (Chinese, Japanese, Russian, Greek, etc.) and improved support for using EndNote on a hand-held device.
    • When EndNote 8 was released, Library staff advised users not to upgrade due to a number of system bugs. Most of the major problems were resolved with the release of 8.0.2.
    • Note: Libraries created with EndNote 8 and above are not compatible with earlier versions.

  • How do I transfer citations from PubMed into my EndNote library?

FIRST METHOD: Connecting to PubMed directly from within EndNote

Connection files let you search a database directly from within EndNote. If you do not see the PubMed (NLM) connection file listed under Online Search you must first select it in the connection manager folder.

To select it in Endnote X2, click on More under the Online Search groups panel:

    •
This will open the Connection File Manager. Locate PubMed (NLM) and click to highlight it. Click on Choose:

In older versions of EndNote you must locate the Connection File Manager by going to Edit/Connections Files/Open Connection Manager:

In X2 there are two ways to use the PubMed (NLM) connection file: in Integrated Mode or Online Mode. The one you choose depends on how you like to work with citations.

    (1) If you search PubMed by first clicking on the Integrated mode icon all your citations are automatically downloaded into your main library:

    (2) If you search PubMed by first clicking on the Online Search mode icon your search results are first placed in a temporary window. This allows you to select only those citations you really want:

View the following short online tutorial for details:

SECOND METHOD: Searching PubMed then transferring to EndNote using Import/Filter option

    1. Select citations you want to download from PubMed by clicking the checkbox on the left.

In the Import dialog box: (1) click on the Choose File button to find the PubMed citations you downloaded; (2) from the drop-down Import Option menu select PubMed (NLM) filter - if this filter is not in the menu you must choose Other Filters to find and select PubMed (NLM) from a list of filters; (3) from the Duplicates drop-down menu select Discard Duplicates (the most popular option); (4)  click on the Import button:

Your citations are  imported into your library:
